How long before cancelling a booking ?

Hi everyone,

If a client is late, how long do you wait before you cancel the booking ?

Same in the case of waiting for booking confirmation, let’s say if someone made a booking, you send them a confirmation message let’s say 2h before the booking and if he doesn’t reply, how long before you cancel ? (because he probably won’t show up)

I wouldn't send a confirmation message - it's up to them to confirm at/before the agreed cut off time and if they don't then their booking is cancelled.

If they're late and haven't let me know they're held up, I'll start getting changed at the time the booking was supposed to start; I would give somebody I knew a little more grace (and if a punter is travelling on the Underground, since they can't get in touch and update me) but if it gets to five minutes after and they still haven't been in touch then I'll start texting my stand bys if I have them and packing up if I don't.

If they keep me posted then I'm fine to wait, but if I have something else on after then it'll come offf their time. I'm not messing other punters around even if the delay isn't their fault.

I always given them a set time/date to confirm our booking by. It is their responsibility to get in touch with me and if they miss the deadline, the date is cancelled, no exceptions.

Regarding being late, I would probably offer a 5-10 minute grace period but if they're later than this, particularly if they haven't let me know they're running late, I would cancel. (However this said, I always go to them, so the onus is on me to be on time).

Your booking now cancelled.
Some would call say they were running late I'd give allowance then .
But the rate of timewasters was so bad i became very negative and had no tolerance  I would block them also if they never bothered turning up.

5 mins. No exceptions.
I make it perfectly clear on my page that lateness without communication equals cancelled and blocked.
I haven't had this happen since the summer in Bristol where everyone seemed to be late and it drove me crazy!
Bear in mind those who are late have already confirmed so I usually call them in case they are stuck in traffic. If no response then I send a text telling them their booking is cancelled.
It's rare for it to happen to me though as I'm very strict and the genuine, respectful clients don't show such disrespect without communication.

I get them to text me to confirm 1–1.5 hours before the booking, so I know to get ready. No text and I assume no booking. If they do confirm but don't show up or contact me, I write them off after 15 minutes.

They’re required to text an hour before the booking for the hotel information anyway, so there’s that. I’ll send a push/shove text if I don’t hear from them, depending how much I need the $$, shrug🤷🏼‍♀️.

When they’re 15 minutes late I call & invariably it goes to VM or I’m told, “Traffic.” I coldly ask them when they were planning on telling ME that, & the answer is always the same:

“Uhhhh….”

My current incall location has a set of roadworks nearby that can cause delays so I usually give 15 mins right now. But if I'm on tour its 5 mins.

When it gets to 10 mins I'll try to call them but only if I don't have someone to replace them or a backup plan of cooking food 🍲

This happens really rarely since I started using a confirmation text system.

I give them 15-20 minutes which is probably a bit generous compared to others.

I have sometimes agreed to see people even if they have been late without notice but only because I want their money  ;D although they won't get as good a service from me. Especially if they haven't the courtesy to apologise.

I'll give them that long provided they've kept me posted and I know about it (and also assuming they realise that it's coming out of their time), but unless they're coming from two doors down they'll have known they were going to be late at least ten-fifteen minutes before the booking time so that would make it a good half hour they would have had to get in touch.

I suppose a few might really think I'm just going to sit quietly and unquestioningly waiting for them to wander over however late they are, but not many and in my experience if they have had some catastrophe on the way the genuine ones still usually manage to let me know at some point. Tbh my main problem is them turning up early, but that's another thread :).

Oh absolutely this - I always include in my 'instructions' text not to turn up more than 5 minutes early. I absolutely hate it!!

I ask everyone other than long term clients to confirm via text either an hour before or 1.5 hours depending on my day. I always say at x time sharp. Not earlier, not later, at the time given. I then send them car park details. Once they're parked I send walking directions. I give everyone 10 minutes grace, unless they've let me know they're running late. For the most part, those who haven't got in touch are no shows..
